Description
The Embassy of Jamaica to Switzerland and the Permanent Mission of Jamaica to the United Nations and other International Organizations in Geneva invites applications from suitably qualified individuals for the position of Registrar/Librarian.
Summary of Job Description
The Registrar will play a key role in maintaining the integrity and organization of the Mission’s records and administrative systems. The successful candidate will be responsible for the effective filing and management of subject files and records, supporting consular operations, and providing general administrative assistance to the Mission’s staff. The role also includes responsibility for organizing incoming and outgoing mail and diplomatic pouches.
Key Responsibilities:
- Organize, maintain, and update both physical and digital filing systems in accordance with Embassy protocols.
- Ensure secure and confidential handling of official documents and records.
- Assist the Consul with administrative aspects of consular services, including documentation, appointment scheduling, and client support.
- Provide general administrative support to Embassy staff, as necessary.
- Prepare and organize incoming and outgoing mail and diplomatic pouches.
- Perform other duties as assigned by the Head of Mission or designated supervisor.
Required Skills and Competencies:
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to manage confidential information with discretion.
- Strong written and verbal communication skills in English; knowledge of French is an asset.
- Ability to work independently and collaboratively in a multicultural environment.
- Prior experience in administrative or clerical roles, preferably in a diplomatic or international setting.
Qualifications:
- Minimum of a Bachelors degree in Library Science, Information Science or Records Management or related area of study.
- At least 2 years of relevant work experience.
