Global Events & Documents Coordinator (100% - permanent)

As the coordinator of our international and European events, you will be responsible for planning and executing events, under the supervision of the General Secretary and the Assistant General Secretary. You will work closely with the campaign and communications teams on all aspects of your role.

Your main responsibilities will include:

  • Overall logistics management: Coordinating technical aspects such as interpretation system, lighting, visuals and sound as well as catering, accommodation and transport for participants from around the world.
  • Multicultural coordination: as part of the contract team, negotiating with and collaborating with international service providers. Establishing the event's registration process, participants list and accreditation process. Managing communication with the participants from the drafting and sending the event invitation to answering to any event-related questions.
  • Budget management: Drawing up, monitoring and optimising event budgets, from contract negotiations through to final invoicing.
  • On the ground: Being present on site to supervise events and taking on the role of audiovisual technician.
  • Travel abroad is required, sometimes in the evenings and at weekends.

As the Governance and Meeting Documents Coordinator, you will play a key role in preparing for and following up on meetings of BWI's decision-making bodies such as Congress, the World Council and the World Board as well as European Committees.

Your main responsibilities will include:

  • Preparatory work: Scheduling, collecting reports and documents, coordinating their translation and finalising the agenda.
  • Document management: Drafting, formatting, proofreading and updating all meeting materials (agendas, programmes, session guides, documents, presentations), recording and organising documents for distribution and subsequent archiving. Ensuring that presentations are collected and distributed to the meeting chair and interpreters
  • Distribution: Securely sending documents to committee members within the specified deadlines.
  • Post-meeting follow-up: Drafting minutes using the tools at your disposal, summarising decisions, monitoring the progress of action plans and archiving documents.

The role of Global Events & Documents Coordinator involves communicating with BWI affiliates (meeting participants), donors (meeting sponsors) and key partners of the organisation.

Your profile

  • Experience: Higher education ideally in event management, tourism or project management, supplemented by 3 to 5 years’ proven experience in organising international events. Experience in an another GUF, Trade Union is a real asset. Min. 5 years’ experience in a multi-cultural work setting
  • Languages: C1 min in English (German, Italian, French language are a major asset. Any other language is an asset).
  • Key skills: Negotiation skills, high stress tolerance, interpersonal skills and proficiency in event software, absolute discretion, strong organisational skills, ability to synthesise information, diplomacy
  • Initiative: You are proactive, solution-oriented and possess strong intercultural sensitivity
  • Excellent writing skills,
  • Knowledge of Microsoft Office (Word, Excel, PowerPoint, Teams, SharePoint) and video conferencing (Zoom)/document management tools.
