DCAF contributes to making peace and development more sustainable by assisting partner states and international actors supporting these states, to improve the governance of their security sector through inclusive and participatory reforms. It creates innovative knowledge products, promotes norms and good practices, provides legal and policy advice and supports capacity‐building of both state and non‐state security sector stakeholders.

For the Director’s Office, we are looking for a professional, resourceful and positive individual to be our next Front Desk & Hospitality Officer.

Location:                    DCAF HQ, Geneva, Switzerland

Starting date:            As soon as possible

Work rate:                  40% - working mornings Monday/Tuesday/Wednesday/Thursday

Duration:                    Permanent

The role  

Reporting to the Head of Facility and working closely with the Senior Front Desk Officer, the Front Desk & Hospitality Officer contributes to the smooth day-to-day functioning of DCAF’s Geneva headquarters by providing professional front desk services and supporting hospitality, facilities and office-related activities. The Front Desk & Hospitality Officer contributes to a welcoming, well-organised and secure working environment.

Key areas of operation

·   Manage front desk and reception services, including welcoming and assisting visitors, handling calls, and administering visitor badges and access services.

·   Ensure continuity of front desk operations, working closely with the Senior Front Desk Officer and supporting security and emergency preparedness procedures as required.

·   Support HQ facilities, office supplies and equipment, including purchasing, inventory management, replenishment of common-area supplies and liaison with relevant service providers.

·   Coordinate internal meetings and events and support hospitality services and the use of DCAF meeting and event facilities, including room set-up, catering, guest arrangements, room availability and liaison with relevant stakeholders.

·   Manage mail and package services and undertake related administrative duties, including reception expense reports and support to visa application processes as directed.

 Your experience

·   Completed secondary education; a qualification in hospitality, facilities management, administration or a related field is an asset.

·   Demonstrated professional experience in reception, front-desk services, hospitality, facilities or a similar role, preferably in an international or multicultural environment.

·   Excellent interpersonal, organisational and customer-service skills, with the ability to manage multiple priorities efficiently and professionally.

·   Full professional proficiency in English and French, both written and spoken.

·   A valid work permit for Switzerland (or Swiss/EU citizenship) at the time of application is a prerequisite.

Additional skills and competencies

·   Proficiency in standard office applications, including Microsoft Office and Outlook; familiarity with SharePoint is an asset.

·   Experience supporting meetings, events or hospitality services, with a proactive, reliable and service-oriented approach.

·   Strong organizational and coordination skills.
