Description
- Position title: External Affairs Junior Associate
- Position level: Junior Associate
- Team: Head of External Affairs
- Required FTE: 80-100%
- Required travel: Occasional (Position is based in Geneva, Switzerland)
- Reports to: Head of External Affairs
Scope of the role
The External Affairs Junior Associate will support the External Affairs Unit with organisation of various high-level hybrid, virtual and in-person events, including the Board meetings and the replenishment conference. He/she will also provide Governance support to Board members and Board Committees, which will require strong organisational skills, tact and diplomacy.
Principal accountabilities and ownership
- Board meetings: Support organisation of GCERF Board meetings including editing of Board papers; drafting emails, internal coordination, in-person event logistics; management of Board portal
- Swiss authorities: Assist EAH with reporting to the Swiss authorities (Swiss Supervisory Authority and Registre de Commerce)
- Coordination & communications: Facilitate coordination and communication between the EAH and other departments, in particular the Executive Office and the Communications team
- Events: Support organisation of high-level external events (virtual and in-person) including preparatory briefings and presentations invitations, logistics, participant communication, and registration, event database management; on-site event support, virtual platform management, meeting minutes; and post-event products, including analytics and summary reports
- Applications: Create and update conference applications on behalf of GCERF, files and documents, including assisting with information gathering and sharing across GCERF departments
- Stakeholder relationships: Support strong working relationships with external stakeholders including partners and Governing Board members
- Service providers: Maintain relationships with service providers (interpreters, caterers, technicians, etc) for events organisation;
- Representation: Represent GCERF at external events upon request, especially in International Geneva;
- Drafting: Support report drafting
- Any other requests from the Head of External Affairs, as needed.
Qualifications :
Knowledge/Experience/Qualifications
- Bachelor’s or Master’s degree in international relations, development studies or communications
- Early career experience, could be as an intern or trainee, ideally 12 months minimum
- Previous experience in NGO or Non-Profit organisation is desirable
Technical skills
- Excellent level of English in writing and communication
- A working knowledge of French is an advantage
