Job Description:
The Management Assistant to the Secretary General will play a critical role in ensuring the efficient operation of the Secretary General's office. This role involves providing high-level administrative support, managing schedules, coordinating meetings, and assisting in the preparation of reports and presentations. The ideal candidate should be proactive, detail-oriented, and capable of handling sensitive information with discretion. Excellent knowledge of English and French is required, and knowledge of additional languages as Spanish would be a strong asset. Previous experience in a similar position within international institutions or businesses is also highly desirable.
Description of Duties:
- Meeting Coordination: Organise and prepare materials for meetings, including agenda preparation.
- Administrative support & Agenda Management: Manage the Secretary General’s calendar, schedule appointments, coordinate meetings, and ensure all commitments and deadlines are met.
- Communication: Draft, proofread, and edit correspondence, reports, and presentations.
- Travel Arrangements: Plan and coordinate travel itineraries, accommodations, and logistics for the Secretary General and Director of Policy.
- Liaison: Act as a point of contact between the Secretary General, staff, stakeholders, and external partners.
- Event Coordination: Support the planning and organisation of high-level international events.
- General Administration: Support fellow team members with the overall administration of the office, including managing office supplies, coordinating meetings, and handling phone calls.
Qualifications:
The ideal candidate will have:
- A bachelor’s degree in business administration or a related field.
- Previous experience as an executive assistant, preferably in a similar role within an international non-profit organization, is required.
- High level of discretion and professionalism.
- Knowledge and ideally previous experience with UN events and meetings
- Excellent command of MS Office tools.
- Fluency in English and a strong knowledge of other languages, such as French and Spanish, is highly recommended.
- Strong organisational skills and ability to efficiently handle multiple tasks.
- Exceptionnel time-management skills.

- Proactive and resourceful problem solver.
- Detail-oriented with a strong commitment to accuracy.
Remuneration:
A competitive remuneration package will be offered.
Conditions :
- Starting date : 1st July 2025
- Location : Based in Geneva
- Work percentage : 100%
