ABOUT US

Nonviolent Peaceforce (NP) is a dynamic, international non-governmental organization. We work with people affected by violent conflicts to enhance their security and dignity through unarmed civilian protection (UCP). We work to reduce violence and protect civilians in countries affected by violent conflict and its aftermath, and to help transform the world’s response to conflict situations.

JOB PURPOSE

This is a three-month assignment supporting the implementation of a global project – Nonviolent Engagement for Safety and Security Transformation (NEST). NEST is a multi-country initiative aimed at influencing policy and advocacy on civilian protection and fostering internal learning on and equitable practice of UCP.
The Events and Logistics Assistant will play a key support role in organising internal workshops and two international events. This includes arranging and booking international travel and accommodation, supporting with event logistics, and providing operational and administrative support to the NEST team.

KEY OBJECTIVES AND RESPONSIBILITIES:

Commitment to NP Principles

  • Demonstrate a commitment to NP’s mandate and principles
  • Maintain a positive and professional image of the organisation when interacting with staff, external actors, partners, and stakeholders.

Logistics

  •  Coordinate logistics for internal workshops and in-person meetings.
  • Coordinate and support logistics for off-site meetings and international NEST-related events
  • Develop and maintain a clear filing system for all records and documentation for all logistics activities.
  • Perform other logistics tasks upon request from the Line Manager.

Procurement

  • Support procurement processes by preparing and reviewing quotations, bids, or proposals in line with NP’s policies and procedures.
  • Prepare, follow up, and manage administrative documentation for staff travel arrangements.
  • Assist in preparing Purchase Requests (PRs) and ensure proper filing of supporting documentation.
  • Provide general administrative support to the NEST team as required.

ESSENTIAL SKILLS AND QUALIFICATIONS

  • You will have 2 years of proven experience in a similarly high-level administrative, logistics, or events coordination role, preferably within the nonprofit or international development sectors.
  • Excellent organisational skills, flexibility, and attention to detail.
  • A calm, positive, and solution-oriented approach.
  • CFC (Certificat Fédéral de Capacité) in commerce / administration is an advantage.

Language Requirements

Since this is a front-facing position, we require a strong command and understanding of English and French, both written and spoken.

The gross salary range for this position is CHF4’500- CHF5’000 per month.
