Purpose of the role

This role will help coordinate the smooth running of the Geneva Office. You will play a key part in supporting the work of a highly motivated international team. Your role will be to assist our cross-cutting work processes, such as finance routines, human resources, (IT) systems, event logistics and our office environment.

You will report to the Director of the Geneva Office and work closely with your Stockholm-based counterpart. You will also work closely with other team members, external consultants and experts.

Main responsibilities

  • Coordinate financial administration, including processing invoices and working with the Stockholm Office and our external accountants to submit monthly and quarterly financial reports
  • Proactively ensure an efficient working environment by providing overall office support, including managing the post, office supplies and addressing IT issues, as well as being the first point of contact for the organisations who sublease office space from us
  • Support with HR tasks, including policy updates, recruitment, work permit applications and onboarding new colleagues
  • Coordinate event logistics and provide travel and accommodation support for activities throughout the year
  • Liaise with external authorities to ensure the organisation complies with local regulations and assist with reporting to regulatory bodies

Required experience and qualifications

  • Professional experience of administrative work, or relevant qualification in the field of administration (CFC employè de commerce or equivalent) 
  • Excellent organising skills and good attention to detail  
  • Confident user of digital platforms and Microsoft office applications, ideally in a Mac environment
  • Full professional proficiency in English and French

Desired experience and qualifications

  • Experience working as part of a culturally diverse team
  • Professional working proficiency in another language
  • Understanding of the work of Right Livelihood Laureates

What we offer

You will become part of a committed international team working together to achieve peace, justice and sustainability for all. Our office is in the Maison de la Paix and you will be eligible to work from home up to 40 per cent of your weekly contracted hours. 

Terms of employment

This is a 12-month fixed term contract with the ambition of becoming a permanent contract after 12 months. It is a full-time position based in Geneva but occasional travel to our Stockholm Office may be required. The successful candidate must have the right to work in Switzerland (Swiss, EU or EEA citizenship or valid work permit).
