Description
Public Services International (PSI) is an international trade union federation based in Ferney Voltaire, France, with members from 150 countries. In October 2023, PSI will hold its World Congress, which is expected to welcome over 1,000 participants. PSI is looking for an experienced and motivated Policy Support Assistant for a 6-month contract to support the Administration, Support and Technical Services Team as from a commencing date as soon as possible. The Policy Support Assistant will work under the supervision of the Manager Global Administration and will provide general administrative and logistical support to the Policy and Strategy Officers in the head office. Working in a vibrant multicultural workplace, the successful candidate will be hard working and motivated. S/he must possess excellent communication skills in both oral and written German and the ability to edit and translate complex documents in German as well as provide an efficient general administrative and logistical support in areas such as travel arrangements, logistics for meetings and events. The candidate must be able to demonstrate good written and oral communication skills for effective communication in English and French. S/he must be highly proficient in the Microsoft office tools, in particular Word and Excel and be able to work to deadlines and manage high workloads requiring prioritisation and attention to details.

Overall responsibilities
The Policy Support Assistant provides general administrative and logistical support to the Policy and Strategy Officers in the head office. This person is an integral member of the Admin, Support and Technical Services Team. Key responsibilities General administration:
- Compile and lay out documents.
- Coordinate translation of documents with the persons responsible in the head office.
- Send mailings to affiliates and partner organisations.
- Assist with travel arrangements.
- Help with expense and credit card reporting.
- Maintain physical and electronic filing and archiving.
Logistical support for online and in person meetings and events:
- Prepare and send meeting invitations.
- Organise travel and lodging for participants.
- Assist in the running of Zoom meetings.
- Coordinate with relevant team members for logistics of in-person meetings.
- Take minutes of meetings.
Congress support
- Work with the Asia-Pacific liaison secretary based in Japan on Congress related participant questions.
- Assist with the organisation of side events for the Policy and Strategy officers.
- Carry out other tasks of similar nature as assigned by the Manager Global Administration.
Supervision: The position will report to the Manager Global Administration.

Skills and attributes:
- Ability to use common IT office tools, including Zoom and Teams.
- Excellent administrative and logistical skills.
- Strong organisational skills including the ability to multi-task, respect deadlines and manage competing priorities under pressure.
- Keen team player, able to communicate with colleagues from diverse backgrounds.
- Ability to work autonomously and collaboratively in a team.
- Ability to work in a multicultural and inclusive environment.
Experience:
- Previous experience in secretarial and administrative support, ideally within a membership-based organisation, the trade union movement, civil society or equivalent.
- Experience in event and travel support.
Language skills:
- Excellent German communications skills (oral and written), ideally level C2, is essential.
- Good written and oral communication skills for effective communication in English and French.
