Details of employment

The HIV Programmes and Advocacy Graduate Assistant will be based in Geneva, Switzerland. The IAS offers the possibility of working from the legal residence for up to 11 days per month for Swiss-based employees and up to eight days per month for French border-zone employees. The Graduate Assistant will report to the DSD and CLM Project Managers, HIV Programmes and Advocacy. The position is full-time and fixed-term for five months, to start on 4 March 2024 until 31 July 2024.

This position is intended for recent graduates and paid at the Geneva minimum wage.

Purpose of the position

This is a graduate entry-level position to support the Differentiated Service Delivery (DSD) and Community-Led Monitoring (CLM) programmes at approximately 50% time per programme.

The HIV Programmes and Advocacy Graduate Assistant will support the DSD and CLM programmes in their day-to-day activities. These activities include virtual and in-person meetings, as well as coordination and administrative support.

Main responsibilities

Support the DSD and CLM programmes in the organization of meetings and events, including onsite at AIDS 2024, the 25th International AIDS Conference:

  • Provide administrative and logistics support for events, meetings, and workshops including travel arrangements as well as with the venue, audiovisual equipment, catering, transportation and meeting materials
  • Contribute to the coordination of hybrid and in-person events by inviting speakers, organizing audio visual recordings, and documenting outcomes
  • Provide support to participants in the lead-up to and during events through registration, technological support and general guidance

Support development of materials and communication of activities, including:

  • Provide administrative and other support in the development of project materials
  • Support the development of social media plans supporting communications of programme materials and activities
  • Support the development of a launch plan for two new e-learning course modules

Perform any additional tasks requested by the DSD and CLM Project Managers, HIV Programmes and Advocacy and the Director, HIV Programmes and Advocacy.

Requirements

Academic qualifications

  •  Recently graduated with a university degree in public health, public policy, international development or related field.

Experience

  • Previous internships and/or similar work experience in administration, project management and/or event organization would be a distinct advantage
  • Experience working in a culturally diverse environment would be an asset
  • Knowledge of HIV would be an asset
  • Although not essential for this position, the IAS acknowledges the value of the experience of living with HIV and will consider this when evaluating applications.

Skills/competencies

  • Strong computer skills in the Windows environment (Excel, PPT) and ability to quickly understand new software / system functioning
  • Ability to work independently and an aptitude for multi-tasking
  • Well organized and systematic, with meticulous attention to detail
  • Open-minded, good team player and a positive can-do attitude
  • Sense of diplomacy
  • Cross-cultural communication skills
  • Zoom and virtual meeting platforms experience an advantage
  • An understanding of HIV and/or the global health landscape would be an advantage.

Languages

  • Excellent written and oral English language communication skills
  • Strong French language skills (level B2 or higher) an asset.
