DCAF – Geneva Centre for Security Sector Governance is dedicated to improving the security of states and their people within a framework of democratic governance, the rule of law, respect for human rights, and gender equality. Since its founding in 2000, DCAF has contributed to making peace and development more sustainable by assisting partner states, and international actors supporting these states, to improve the governance of their security sector through inclusive and participatory reforms. It creates innovative knowledge products, promotes norms and good practices, provides legal and policy advice and supports capacity‐building of both state and non‐state security sector stakeholders.
DCAF’s Foundation Council members represent over 50 countries and the Canton of Geneva. Active in over 70 countries, DCAF is internationally recognized as one of the world's leading centres of excellence for security sector governance (SSG) and security sector reform (SSR). The Sub-Saharan Africa Division (SSAD) supports national partners to undertake security sector governance and reform (SSG/R) initiatives which are supported by applied research and knowledge products. For more information, please visit SSAD’s webpage.
The Division has 21 full- and part-time staff members in Geneva and staff across six field offices and we are looking for a highly motivated and dynamic individual to join us as:
Administrative Officer (100%)
- Location: Geneva
- Starting date: May 1st, 2023
- Duration: 12-month fixed-term contract with possibility of extension
The role
Under the supervision of the Head and/or Deputy Head of the Sub-Saharan Africa Division, the Administrative Officer plays a key role in ensuring the smooth functioning of the Sub-Saharan Africa Division by providing administrative support to divisional colleagues. While mainly interacting with own entity colleagues, the Administrative Officer will also routinely liaise with a wide range of colleagues and departments across DCAF.
Key areas of operation:
- Day-to-day administrative tasks, centred on the management and distribution of information within the Entity and logistical arrangements, including supporting the frequent travel (visa, flights, hotels, etc) of staff as well as the organization of events and conferences,
- Supporting managers in recruitment and onboarding administrative processes in close collaboration with the HR Unit, monitoring employee time management for Field Offices, processing and tracking contracts with external partners, supporting and guiding Field Office administrative staff,
- Providing support to the Financial Control Officer with administration-related tasks, including support in the payment process, expenses reports, procurement requests, tracking and preparing of (financial) contracts, following up on travel-related expenditures, among others.
Your experience and skills
- Minimum 5 years’ experience in an international organization or global entity.
- Federal Certificate of Competence (CFC), apprenticeship, or equivalent working experience in a similar function with diverse teams.
- Fluency in French with a working proficiency level of English or vice versa (fluency in English with a working proficiency level of French), fluency in both languages is considered a strong asset.
- Well versed in Microsoft Office Suite (Excel, Word, PowerPoint, etc.) familiarity with IT systems (e.g., SharePoint, Microsoft Teams, Zoom, Therefore, etc.) is considered a strong asset.
- Strong organisational and planning skills with the ability to coordinate effectively across entities.
