About the Global Surgery Foundation

Five billion people in the world today lack access to safe, timely, and affordable surgical care. Surgically avertabledeaths, including those from cancer, maternal complication, and traumatic injury, cause more death and disability than HIV, malaria, and TB combined, making it a neglected global epidemic, according to the World HealthOrganisation.

Strong surgical care systems form the backbone of healthcare systems and are fundamental to achieving Universal Health Coverage and The Sustainable Development Goals. Investing in surgical care services is affordable, saves lives, and promotes economic growth. Poor access to surgical care will cost low- and middle-income countries an estimated US$12.3 trillion by 2030 if no action is taken now.

With this in mind, the Global Surgery Foundation (GSF), an alliance of key global health leaders, including the United Nations Institute for Training and Research (UNITAR), Harvard Medical School, and Smile Train, waslaunched in 2020 at the World Economic Forum Annual Meeting. Its mission is to support countries in their efforts to scale up access to safe and affordable surgical care, especially in low- and middle-income countries.

About the position

Working under the supervision of the GSF Programme Manager, the Operations Associate will be the focal point for the logistical support of the operations of the Foundation. They will be responsible for supporting the Executive Director and Programme Manager in ensuring effective operational processes.

This position requires an in-depth understanding of (a) operations management, (b) human resources, (c) communications, and (d) project management. The Operations Associate is also expected to contribute to GSF’s overall organizational and programme development.

This is an entry level position for a highly dedicated and motivated individual striving for excellence. It is a temporary (6-months) position with potential for renewal based on Candidate performance and availability of project funding. Applicants must be eligible to work in Switzerland.

Responsibilities

The Operations Associate will be responsible for tasks related to 1) overall operations coordination, 2) human resources coordination, 3) communications coordination, governance coordination, and 4) administrative support.

1.     Overall operations coordination

  • Assist the Programme Manager in planning, organizing, and coordinating functions relating to the operational processes of the
  • Improve and establish operational processes to ensure smooth running of the operation of the Foundation;
  • Update and draft operations policies and circulars;
  • Liaise with key operations stakeholders to keep them informed and follow up on tasks and deadlines;
  • Keep up to date with the current market trends and industry forecasts in all areas related to operational management .

2.     Human resources coordination

  • Act as a focal point for human resources processes.
  • Support the recruitment and onboarding processes, including screening and interviewing candidates, and effectively welcoming new team members;
  • Support training & development processes, including performance evaluation preparations and follow-up;
  • Respond to human resources-related questions and complaints from employees and offer guidance on HR processes;
  • Assist in developing new policies or procedures related to hiring, employee performance evaluation, benefits, etc.

3.     Communications coordination

  • Act as events focal point and provide administrative and logistical support to the organization of events;
  • Draft and upload content to the GSF’s website and the GSF’s social media accounts;
  • Compile information to draft reports and briefing documents for projects;
  • Develop and maintain strong working relationships with internal and external communications stakeholders to ensure successful outcomes.

4.     Governance coordination

  • Act as administrative focal point for the High-Level Council and Technical Advisory Council;
  • Support the preparation of council meetings;
  • Support the recruitment and evaluation of new members for the council;
  • Track key performance indicators of the council membership.

5.     Overall administrative support

  • Prepare, schedule, prepare invitations and follow up on meetings with the GSF’s stakeholders, in particular for the Executive Director;
  • Maintain the filing system ensuring the safekeeping of confidential materials and documents;
  • Providing effective administrative and logistics support to the projects in compliance with the GSF’s rules and regulations policies and strategies;
  • Support senior team members in scheduling meetings.

6.     Other

  • Contribute to the GSF’s overall organizational and program development;
  • Support the development and implementation of selected programmatic activities;
  • Support coordination of team meetings and team building activities.

Requirements

Education

Master’s degree in Business, Public Administration, Economics, Political or Social Sciences, etc.

Experience

Required

  • At least 2 years of experience in a similar role, providing operations support with international NGOs, UN agencies, and/or other donor or international organizations;
  • Excellent command of Microsoft Office applications
  • Preparing presentations, meetings, and administrative documentation for projects
  • Fluency in English and French
  • Professional working level of other languages, and in particular Spanish, is desirable
  • Project management experience
  • Event management experience
  • Strong organizational skills and detail orientation
  • Excellent communication skills, both written and verbal
  • Strong interest in global health / global surgery and motivation to make a difference.

Preferable

  • Prior experience in global health / global surgery;
  • Experience in web development (using tools such as Squarespace).

  • Candidate must be eligible for obtaining a work permit in Switzerland.
