Job description:
The Management Assistant to the Secretary General will play a critical role in ensuring the efficient operation of the Secretary General's office. This role involves providing high-level administrative support, managing schedules, coordinating meetings, and assisting in the preparation of reports and presentations. The ideal candidate should be proactive, detail-oriented, and capable of handling sensitive information with discretion. Excellent knowledge of English and French is required, and knowledge of additional languages would be a strong asset. Previous experience in a similar position within international institutions or businesses is also highly desirable.
Description of Duties:
- Administrative Support: Manage the Secretary General’s calendar, schedule appointments, and coordinate meetings.
- Agenda Management: Ensure all commitments and deadlines are met by managing the Secretary General’s agenda.
- Communication: Draft, proofread, and edit correspondence, reports, and presentations.
- Meeting Coordination: Organise and prepare materials for meetings, including agenda preparation and minute-taking.
- Travel Arrangements: Plan and coordinate travel itineraries, accommodations, and logistics for the Secretary General and Director of Policy
- Liaison: Act as a point of contact between the Secretary General, staff, stakeholders, and external partners.
- Event Coordination: Support the planning and organization of high-level international events.
Qualifications:
The ideal candidate will have:
- Bachelor’s degree in business administration or a related field.
- Minimum of 4 years of experience in an executive assistant role, with previous experience in a similar position within an international non-profit organization required.
- Knowledge and ideally previous experience with ILO high-level meetings (e.g., Governing Body) and internal ILO mechanisms.
- Fluency in English is required; knowledge of other languages such as French and Arabic is a strong asset.
- Excellent command of MS Office tools.
- Strong organisational skills and ability to efficiently handle multiple tasks.
- Exceptional time-management skills.
- Ability to work independently and as part of a team.
- High level of discretion and professionalism.
- Proactive and resourceful problem solver.
- Detail-oriented with a strong commitment to accuracy.
Remuneration
A competitive remuneration package will be offered.
Conditions:

- Work percentage: 100 %.
- Duration: 4 months (January-April)
