Description

The World Council of Churches (WCC) is an ecumenical fellowship of churches founded in 1948, which brings together 352 member churches from all over the world and promotes Christian unity in faith, witness and service for a just and peaceful world.

The Project and Finance Assistant is part of the communication team. He/she will handle project administration and finances as well as contributing to project communication, content, planning and reporting.

SPECIFIC RESPONSIBILITIES

  • Support the Communication team in managing expense coding and documentation, and the invoicing workflow, in collaboration with the finance department
  • Monitor expenditure against the budget; monitor advance accounts; track commitments not yet recorded
  • Participation in financial planning and budgeting, and in the annual reporting process as applicable
  • Monthly communication financial report to the director of communication and work with the finance department team regarding the finance of the communication department when applicable
  • Publication and journal administration (book launch, order box, re-printing, etc…). Receiving and distributing books and Journals. Manage publication’s stock and orders of book as well as on side selling. Check and respond to WCC Communication mailbox
  • Processing invoices and managing & archiving contracts when necessary
  • Support communication officers with general communication tasks
  • Undertake logistical tasks necessary for events at the Ecumenical Centre
  • Cooperate in the maintenance of ecumenical memory (organizing, filing and archiving information)
  • Participate in the programme meetings and contribute to the overall work of the programme (including taking minutes as applicable), also undertaking other duties as determined by the director of communication
  • Manage and monitor the vacation schedule of the team
  • Web-support/uploading content to the WCC website and distributing emails

QUALIFICATIONS AND SPECIAL REQUIREMENTS:

  • Diploma in Commercial studies (“Ecole de Commerce”) or equivalent
  • 3/5 years of experience in administrative procedures. Experience with finance procedures and budget monitoring desired
  • Excellent interpersonal skills and ability to work in a multicultural environment
  • Excellent command of written and spoken English and French, German and/or Spanish an asset
  • High level of computer literacy (Microsoft Office, SharePoint, FileMaker Pro, Outlook, etc…)
  • Take initiative and work both autonomously and collaboratively in a flexible and collegial way, with respect to confessional, cultural and gender diversity
  • Highly organized with the ability to prioritize and ability to work in a fast-pacing environment and stress management skills

CONTRACT DURATION: Fixed term of 6 months (replacement of maternity leave)

POSITION AT (%): 60%-80%
