Concept Foundation


The incumbent will provide support to Concept Foundation’s programme staff and manage its administrative functions.

Concept Foundation is a nonprofit, nongovernmental organization working to improve access to quality-assured reproductive health medicines and technologies in low and middle-income countries. Concept Foundation has offices in Geneva and in Bangkok, Thailand with staff and consultants located in multiple countries.  Concept Foundation works closely with World Health Organization on sexual and reproductive health and medicines, supports generic manufacturers on quality-assured manufacturing, clinical and implementation research, and knowledge translation activities.

Summary of tasks and responsibilities

The incumbent will be based in Geneva and will be responsible for:

  • General finance-related management – paying monthly bills, keeping track of office finances, managing petty cash, regular reporting and communication with the finance and admin team in Bangkok
  • Office organization and administrative tasks such as filing documents, managing office calendar, visiting cards, office stationery
  • Arranging staff and consultant travel as and when required through travel agency, support to staff and consultants on filing of travel authorisations and expense reports
  • Maintaining official documents, standard procedures and organizational official communications
  • Administrative support to the meeting of the Board of Directors
  • Coordination of IT support with external vendors
  • Organizing the annual audit liaising with the fiduciary and audit companies
  • Assistance and support to the Executive Director and Director of Programmes as required

Knowledge and skills

  • Knowledge of office management software including Office 365 software platforms, MS Teams
  • Familiarity with accounting and project management software
  • Good IT skills including web site management, social media posting knowledge would be desirable


5 years or more experience in office administration, including administrative/financial management

Language skills

Fluency in French and English
