THE POSITON

Legal Action Worldwide (LAW) is expanding and has created a new and exciting position for an experienced and qualified Grants Finance Manager to join the Finance Team at our Head Office. The Grants Finance Manager will be reporting directly to the Head of Finance and will work closely with Programme Managers, Finance Mangers in the field including project teams and partners. The successful candidate will be responsible for the financial planning and reporting of grants, ensuring compliance in line with grants and financial regulations, build staff capacity and to support the Head of Finance on development of policies and procedures. The work stream will be diverse and challenging.

MORE ABOUT THE POSITION

  • Where? The position will be based at our Head Office in Geneva, Switzerland. You should have the right to work in Switzerland or within the EU. Travel opportunities is also available.
  • Duration: This is a permanent and full-time position, but we may be flexible for the right candidate.
  • Salary: Competitive rates of pay apply.
  • Starting date: as soon as possible
  • Overview:  The Grants Finance Manager will have solid experience in financial grant reporting, to manage a portfolio of several grants, and support the Head of Finance to improve organisational systems, policies and procedures.

KEY RESPONSIBILITIES

Grant Management

  • Ensure effective and timely financial management of assigned donor agreements and sub- agreements;
  • Mapping out donor requirements and expectations and evaluate and develop financial accounting and reporting structures to ensure compliance with hub offices;
  • Develop and monitor effective financial control mechanisms between LAW and partners;
  • Prepare reconciliation and consolidation analysis related to grant and/or project milestones and at close-outs;
  • Provide financial analysis, including budget variance analysis and analysis of commitments against spent on a monthly basis, to support appropriate financial decisions.

Audit

Coordinate and prepare for periodic audits on assigned grant agreements or sub-agreements;

  • Oversee the implementation and closure of audit findings and recommendations;
  • Develop staff capacity, training and contribute to the improvement of the audit, financial reporting and donor allocation process;
  • Support the Head of Finance in the preparation of financial information relating to new donor agreements as required;
  • Support the Head of Finance in the yearly statutory audit for grants.

Accounting and management

  • Work in collaboration with the Accounting Officer, to ensure that transactions are accurately allocated;
  • Collate all invoices related to the specific grants managed and ensure these are processed and paid in a timely manner;
  • Provide accurate information to the Accounting Officer to issue the monthly time sheet for all positions funded by the grants

Other tasks

  • Develop staff capacity and training on procurement and financial management processes;
  • Support the Head of Finance to develop effective and fit for purpose financial systems including software, policies and procedures;

ABOUT YOU

  • Master's degree in finance, financial controlling, or business management;
  • Demonstrated 5 years’ experience or more in a similar position working for a INGO;
  • Excellent written and oral communication skills in French and English;
  • Advanced knowledge and demonstrated experience in Excel;
  • Knowledge of RPC 21;
  • Demonstrated experience of working on US and EU grants with sub-grantees;
  • Knowledge of ERP accounting system preferably Microsoft Dynamics Navision;
  • Flexibility and ability to under pressure and meet conflicting tight deadlines;
  • Demonstrated experience of facilitating audit and compliance requirements;
  • Ability to communicate to a wide range of stakeholders including technical financial matters to individuals not versed in financial management;
  • Excellent organizational skills, including ability to effectively manage multiple projects in a fast-paced environment and to effectively problem solve and troubleshooting.
