Scope of the role

Responsible for providing administrative support to the Executive Director and Deputy Executive Director.

Principal accountabilities and ownership:

1. General administration support to the ED, and Deputy ED as required. Including but not limited to meeting arrangements (ensuring meeting rooms booked, room is prepared as required, visitors are greeted, and room is in good order following the meeting)
2. Responsible for taking meeting notes as requested
3. Responsible for working with GCERF travel team to arrange the most efficient, cost-effective travel for the ED and Deputy ED
4. Complete travel expenses and other travel-related administration.
5. Some administrative support to the Chair of GCERF Board as required.
6. In collaboration with Admin Associate, ensure appropriate provisions in the office (stationary, kitchen items)
7. Support office-related projects as required.

Qualifications
Knowledge/Experience/Qualifications

• Certificate in Administration, management or other.
• Experience in projects related to studies or as a volunteer or intern
• A first experience providing administrative support is an asset
• Demonstrated interest in the work of GCERF and understanding of some of the issues concerned with preventing violent extremism.

Technical skills:

• Good understanding of Microsoft Office

Executive Director and Deputy ED (primary)
• Ensure high-quality administrative support to the Executive Director and Deputy Executive Director to facilitate the coordination of their agendas and compliance with all internal procedures including but not limited to Travel requests, travel reports and expenses, credit card reconciliations. Setting up meetings and ensuring all is arranged for a smooth, professional internal and external meetings.

Senior Management Team (primary)
• Assist coordination of team meetings, arranging meetings with the Ed & Deputy ED. Take clear, accurate notes from meetings as requested. Travel team (primary)
• Ensure coordination with the Travel team to ensure compliance with procedures and smooth travel of ED and Deputy ED.

Other colleagues (secondary)
• Projects as requested
• Establish and maintain effective working relations in a multicultural environment with sensitivity and respect for diversity.

 

General information:

• The role will be either an intern or Junior Associate (trainee) position based on the experience of the successful candidate in accordance with our internal regulations.

• Contract: 6 to 12 months at 80% of full-time (40 hours) with a possibility to renew.
• Location: The position is based in Geneva.
• Remuneration: Internships and Junior Associate positions are paid. Interns receive a stipend ofCHF 2000 per month. JA’s who meet the criteria and have some solid work experience are remunerated CHF 3,500 per month plus benefits including a CHF 500 per month contribution towards health insurance.
