Job Description:
The Administrative Assistant will provide critical support for the Foundation Development. The role involves various administrative tasks, follow-up activities, and event organisation to ensure the smooth operation and success of IOF's funding initiatives. The assistant will work closely with internal teams and external partners, demonstrating excellent organisational and communication skills.
Key Responsibilities:
Administrative Support:
- Provide day-to-day administrative assistance.
- Manage calendars, schedule meetings, and coordinate travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Develop and maintain a filing system.
- Use of follow-up prospection platform, e.g. Pipedrive.
- Preparation, validation and dissemination of fundraising proposals
- Development of Fundraising support and materials, such as Fundraising Brochures, slide decks and any other useful support where needed.
Follow-up Activities:
- Monitor and follow up on the status of ongoing projects, sponsorships, and grants.
- Maintain an inventory of current partnerships, sponsors' expectations, risks, and opportunities.
- Assist in the development and implementation of strategies to strengthen existing partnerships.
- Liaise with team members to handle requests and queries from the Committee of Corporate Advisors.
Event Organization:
- Plan and organise events, meetings, and other activities.
- Coordinate logistics, including venue selection, catering, and invitations.
- Ensure all event details are executed smoothly and align with IOF’s goals and objectives.
Communication:
- Serve as a point of contact for internal and external stakeholders.
- Facilitate effective communication between the development team and other IOF departments, partners, and donors.
- Draft and distribute meeting agendas, minutes, and follow-up action items.
Research and Grant Writing:
- Assist in researching potential sponsors, donors, and grant opportunities.
- Ensure the preparation of grant proposals, applications, and reports.
- Draft and finalise contracts
Reporting and Analysis:
- Help generate and analyze reports on fundraising performance, sponsorship activities, and donor contributions.
- Provide insights and recommendations to improve processes and outcomes.
Compliance and Ethics:
- Ensure all activities adhere to relevant legal and ethical standards and regulations.
Qualifications & skills:
- Bachelor's degree in Business Administration, Communications, or a related field.
- Proven experience in an administrative role, preferably in a non-profit or fundraising environment.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication skills in English; proficiency in other languages is a plus.
- Understanding business approach
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving abilities.
- Strong interpersonal and communication skills and adherence to cultural sensitivity and diplomacy.
