Description
KEY RESPONSIBILITIES:
- Daily transportation of the Head of Mission or Charge d’affaires a.i. to meetings and events, as directed.
- Transportation of Permanent Mission personnel to meetings and events, as directed and as appropriate.
- Transportation for visiting delegations from capital, to and from hotel, to meeting and reception venues, as directed.
- Transportation (as above) in Geneva, rest of Switzerland and may also include other European cities.
- Daily collection/delivery of post, packages, and other correspondence between the Permanent Mission and local government offices, other Missions or institutions.
- Maintenance and upkeep of Permanent Mission vehicles including interior, and exterior cleaning, and regular maintenance at a serviced garage as appropriate.
- Maintaining a transportation logbook of authorised commutes, and entry book of service maintenance.
- Ensure Permanent Mission vehicles are fit for daily operation including sufficient fuel, oil, fluid etc. for transportation of HOM, Permanent Mission personnel and visiting delegations.
- Assist in renewal of Permanent Mission vehicle insurance, vehicle registration, appropriate parking and road permits and any other administration related to the vehicle.
- Assist with basic administrative tasks, such as filing, photocopying, or delivering messages, as directed.
- Ensure that all vehicles comply with the Minimum Operating Security Standards (MOSS); and all rules and regulations in relation to the Federal Roads Office (FEDRO)
- Ensure vehicles passes for access to UN and other international organisations are kept up to date;
- Must be able to work flexible hours and to perform other duties as assigned by the Head of Mission.
KNOWLEDGE, EXPERIENCE AND QUALIFICATIONS REQUIRED:
- Fluent in English and French spoken and written
- Good knowledge of local Swiss and Geneva administrative and legal requirements
- Extensive previous driving experience including at executive level
- Valid driver’s license
- At least 5 years of relevant professional work experience in a similar position
- A very good geographical knowledge of the region and ability to use GPS/online maps
- Ability to multitask
- Excellent punctuality and time management and flexibility to work beyond normal working hours
- Flexible, sense of initiative and ownership, minimal supervision and ability to work in a multicultural environment
- Reliable, show strong attention to detail and a focus on quality
- Good team spirit with excellent verbal, written, and interpersonal skills
- Ability to handle sensitive information with strict confidentiality
