The purpose of this role is to ensure that MSF’s fundraising activities are supported by reliable systems, high-quality data, and efficient operational processes, enabling effective donor engagement and income growth in alignment with MSF’s fundraising strategic objectives.

Tasks & Responsibilities

Strategic Direction, Planning & Budget Monitoring

  • Define the strategic direction of the Fundraising Operations and Systems Unit in alignment with departmental objectives.
  • Lead the development of annual operational plans and priorities, monitor implementation, and ensure rigorous budget follow-up.
  • Coordinate cross-functional initiatives involving data, CRM development, and gift processing, applying project management best practices to ensure timely and successful delivery.

Team management

  • Lead, support, and guide the FOSU team by defining clear roles, setting priorities, and fostering professional development in line with departmental objectives.
  • Promote collaboration, knowledge sharing, process optimisation, and continuous improvement within the team, ensuring ways of working and value delivery are constantly enhanced.
  • Drive a culture of performance, service orientation, and accountability across all team functions to ensure the unit proactively supports evolving fundraising needs.
  • Ensure the structured use of project management tools and methods to drive operational efficiency, track progress, and provide accountability in the delivery of all unit activities.

Stakeholder Engagement

  • Represent the Fundraising Operations and Systems Unit in relevant coordination platforms and contribute to cross-departmental discussions.
  • Act as a strategic partner for internal stakeholders including Fundraising Units, Finance, and IT, ensuring effective coordination and mutual understanding of system needs.
  • Establish and maintain Service Level Agreements (SLAs) with the units served, defining clear expectations, timelines, and escalation paths for service delivery.
  • Oversee relationships with external service providers, including CRM developers, data processing vendors, and financial institutions, ensuring performance and contractual alignment.
  • Participate actively in the international MSF fundraising community, particularly through MSF Teams and the Community of Practice (CoP) calls, to benefit from shared advice, resources, and best practices.

CRM Maintenance and Strategic Coordination

  • Oversee the reliability and overall performance of Microsoft Dynamics CRM, ensuring alignment with operational and strategic fundraising needs.
  • Support the Product Owner to ensure that internal user needs are captured and considered in system development and prioritization.
  • Coordinate with IT and external vendors on issue resolution, service delivery, and roadmap alignment, without engaging in technical development directly.
  • Ensure proper documentation and knowledge sharing around CRM processes and functionalities.
  • Stay informed of CRM innovations and fundraising tech solutions, evaluating their relevance for MSF’s fundraising ecosystem.

Data Management & Governance

  • Oversee the accuracy, integrity, and consistency of donor data across systems, including data entry, import/export, de-duplication, enrichment, and regular cleaning.
  • Ensure GDPR compliance and promote best practices for data protection, storage, and lifecycle management.
  • Supervise internal and external data operations, including outsourced data processing providers.
  • Monitor and improve data workflows, documentation, and quality assurance routines.
  • Ensure provision of transparent and accurate reporting on data quality, SLAs and system usage to support decision-making.

Gift Processing

  • Ensure timely, effective, and accurate processing of donations across all payment channels, including credit cards, LSV/DD, PayPal, Twint, and cryptocurrencies.
  • Ensure the correct application of processing conditions for each payment type, in collaboration with Finance and other relevant stakeholders.

Your profile

Education

Essential:

  • University degree in Business Management, Information Systems, Data Management, or a related field.

Desired:

  • Certification in project management (e.g., PMP, PRINCE2) and/or agile frameworks (e.g., Certified Scrum Master) is a strong asset.

Experience

  • Proven team leadership experience and ability to manage cross-functional relationships.
  • Minimum 5 years of experience in managing Microsoft Dynamics CRM or comparable platforms from a business/user perspective.
  • Proven experience in managing fundraising operations and gift processing operations, ideally in the Swiss market.
  • Proven experience in project management, with the ability to coordinate complex initiatives involving multiple stakeholders and deliver results in a timely and structured way.

Languages

  • Fluency in English and French
  • German is a plus

Skills/ Technical competencies

  • Strong functional knowledge of Microsoft Dynamics CRM or equivalent platforms.
  • Solid understanding of system architecture and API-based integrations from a functional management perspective.
  • Deep understanding of the fundraising business, including key processes, donor expectations, and the role of data and systems in supporter engagement.
  • Familiarity with agile methodologies (e.g., Scrum, Kanban), and the ability to apply them in a non-IT context to drive efficiency and continuous improvement

Terms of employment

  • Full-time position 100% (40h/week)
  • Open-ended contract
  • Working place: Geneva, Switzerland
  • Ideal start date: July 15th, 2025
  • Gross annual salary (for 100%): from CHF 102’180.- to CHF 116’484.- (salary commensurate with equivalent experience and internal salary grid)
  • Paid vacation: 25 days per year, prorate temporis, plus any Swiss public holidays falling within the contract period.
  • Pension plan: pension contribution covered 3/4 by MSF, 1/4 by staff member.
  • Relocation package if moving from a different country to Switzerland.
