We work with people affected by violent conflicts to enhance their security and dignity through unarmed civilian protection (UCP). We work to reduce violence and protect civilians in countries affected by violent conflict and its aftermath, and to help transform the world\u2019s response to conflict situations.\r\n<h3><strong>JOB PURPOSE<\/strong><\/h3>\r\nThis is a three-month assignment supporting the implementation of a global project \u2013 Nonviolent Engagement for Safety and Security Transformation (NEST). NEST is a multi-country initiative aimed at influencing policy and advocacy on civilian protection and fostering internal learning on and equitable practice of UCP.\r\nThe Events and Logistics Assistant will play a key support role in organising internal workshops and two international events. This includes arranging and booking international travel and accommodation, supporting with event logistics, and providing operational and administrative support to the NEST team.\r\nWe are a small, collaborative team that takes pride in our work while supporting each other. If you are naturally organised with a keen eye for detail, a positive \u201ccan-do\u201d attitude and enjoy multitasking and problem-solving, we would love to hear from you.\r\n<h3><strong>KEY OBJECTIVES AND RESPONSIBILITIES:<\/strong><\/h3>\r\n<h3>Commitment to NP Principles<\/h3>\r\n<ul>\r\n \t<li>Demonstrate a commitment to NP\u2019s mandate and principles<\/li>\r\n \t<li>Maintain a positive and professional image of the organisation when interacting with staff, external actors, partners, and stakeholders.<\/li>\r\n<\/ul>\r\n<h3>Logistics<\/h3>\r\n<ul>\r\n \t<li>\u00a0Coordinate logistics for internal workshops and in-person meetings.<\/li>\r\n \t<li>Coordinate and support logistics for off-site meetings and international NEST-related events<\/li>\r\n \t<li>Develop and maintain a clear filing system for all records and documentation for all logistics activities.<\/li>\r\n \t<li>Perform other logistics tasks upon request from the Line Manager.<\/li>\r\n<\/ul>\r\n<h3>Procurement<\/h3>\r\n<ul>\r\n \t<li>Support procurement processes by preparing and reviewing quotations, bids, or proposals in line with NP\u2019s policies and procedures.<\/li>\r\n \t<li>Prepare, follow up, and manage administrative documentation for staff travel arrangements.<\/li>\r\n \t<li>Assist in preparing Purchase Requests (PRs) and ensure proper filing of supporting documentation.<\/li>\r\n \t<li>Provide general administrative support to the NEST team as required.<\/li>\r\n<\/ul>\r\n<h3><strong>ESSENTIAL SKILLS AND QUALIFICATIONS<\/strong><\/h3>\r\n<ul>\r\n \t<li>You will have 2 years of proven experience in a similarly high-level administrative, logistics, or events coordination role, preferably within the nonprofit or international development sectors.<\/li>\r\n \t<li>Excellent organisational skills, flexibility, and attention to detail.<\/li>\r\n \t<li>A calm, positive, and solution-oriented approach.<\/li>\r\n \t<li>CFC (Certificat F\u00e9d\u00e9ral de Capacit\u00e9) in commerce \/ administration is an advantage.<\/li>\r\n<\/ul>\r\n<h3>Language Requirements<\/h3>\r\nSince this is a front-facing position, we require a strong command and understanding of English and French, both written and spoken.\r\n<h3>Additional competencies<\/h3>\r\n<ul>\r\n \t<li>Ability to show good judgment related to discretion and confidentiality<\/li>\r\n \t<li>Ability to work independently and take initiative<\/li>\r\n \t<li>Demonstrated ability to support multiple functions across time zones, manage competing priorities, and contribute to effective systems and processes.<\/li>\r\n \t<li>Global mindset: global awareness\/sensitivity to culture; understanding diverse cultural norms and expectations<\/li>\r\n<\/ul>\r\n<h3><strong>HOW TO APPLY<\/strong><\/h3>\r\nCandidates meeting the above requirements are requested to submit a CV (max. 2 pages) and cover letter (max. 1 page) in English, detailing their experience and how they qualify for the role.
