DCAF contributes to making peace and development more sustainable by assisting partner states and international actors supporting these states, to improve the governance of their security sector through inclusive and participatory reforms. It creates innovative knowledge products, promotes norms and good practices, provides legal and policy advice and supports capacity‐building of both state and non‐state security sector stakeholders.
For the Director’s Office, we are looking for a professional, resourceful and positive individual to be our next Front Desk & Facilities Officer.
Location: DCAF HQ, Geneva, Switzerland
Starting date: As soon as possible
Work rate: 40% - working all day Thursdays and Fridays
Duration: Permanent
The role
Reporting to the Head of Facility and working closely with the Senior Front Desk Officer, the Front Desk & Facilities Officer contributes to the smooth day-to-day functioning of DCAF’s Geneva headquarters. The position combines professional front desk services with facilities, hospitality and administrative support. It also provides flexible support to Facilities.
The post holder will help maintain a welcoming, well-organised and secure working environment for staff, visitors and partners, while ensuring continuity of front desk services during the absence of the Senior Front Desk Officer.
Key areas of operation
Manage front desk and reception services, including welcoming visitors, handling calls, administering badges and keys, and ensuring a professional reception environment.
Ensure continuity of front desk operations, working closely with the Senior Front Desk Officer and supporting security and emergency preparedness procedures as required.
Support HQ facilities, office supplies, hospitality and mail services, including purchasing, inventory management, meeting room set-up and liaison with relevant services and suppliers.
Provide administrative and organisational support to Facilities, including the preparation and coordination of meetings, visits and other engagements, as well as the preparation of presentations, briefing materials, background information and correspondence.
Your experience
Completed secondary education; a qualification in hospitality, facilities management, administration or a related field is an asset.
Demonstrated professional experience in reception, front-desk services, hospitality, facilities or a similar role, preferably in an international or multicultural environment.
Excellent interpersonal, organisational and customer-service skills, with the ability to manage multiple priorities efficiently and professionally.
Full professional proficiency in English and French, both written and spoken.
A valid work permit for Switzerland (or Swiss/EU citizenship) at the time of application is a prerequisite.
Additional skills and competencies
· Proficiency in standard office applications, including Microsoft Office and Outlook; familiarity with SharePoint is an asset.
· Ability to work independently and collaboratively in a multicultural and international environment.
· Ability to gather, organise and synthesise information and prepare clear written and visual materials.
· Strong organizational and coordination skills.
· Attention to detail and ability to prioritize tasks.
