DCAF contributes to making peace and development more sustainable by assisting partner states and international actors supporting these states, to improve the governance of their security sector through inclusive and participatory reforms. It creates innovative knowledge products, promotes norms and good practices, provides legal and policy advice and supports capacity‐building of both state and non‐state security sector stakeholders.

We are looking for a proactive and experienced individual to be our next:

Human Resources Information System Specialist

Location:                     DCAF Geneva, Switzerland

Starting date:              As soon as possible

Duration:                      Permanent

Work rate:                    80-100%

The role

Working closely with the HR Operations team, you will play a key role in ensuring efficient, smooth running, and high-quality Information data system and processes. You will manage DCAF’s HR Information System and ensure strong support to the HR team and end users. You will be proactive in providing HR analytics and reporting to enable informed workforce planning and organizational decisions, in optimizing processes, and supporting the team in various HR projects.

Key areas of operation:

HRIS governance, system optimization, integration

  • Identify opportunities to improve HR processes and system workflows to increase efficiency and user experience
  • Map, develop and maintain HRIS processes, procedures, and documentation to ensure efficient and consistent system usage.
  • Ensure optimization, efficiency and automation, and improve employee and manager self-service functionalities to empower users and reduce administrative workloads for all
  • Create user guides, training materials, and provide support to ensure adoption and effective use of HR systems
  • Continuously improve user experience through feedback, testing, and optimization
  • Coordinate with IT and the user community to identify areas of improvement, recommend changes, and implement functional solutions for existing systems
  • Integrate the various HR solutions, and proactively suggest ways to use the system to its full potential
  • Collaborate with HR team to streamline HR processes and data integration with other systems.

HRIS management

  • Manage the day-to-day operations of the HRIS, including system configuration, data integrity, and troubleshooting.
  • Create user accounts, manage access and onboarding within the system, and update employee information, launch HR campaigns.
  • Provide technical support and training to HR users, managers and employees, ensuring they can effectively navigate and utilize the HRIS.
  • Actively identify and resolve issues within HRIS.
  • Serve as a point of contact for HRIS-related inquiries and provide timely resolution or escalate issues as necessary.

Data quality and HR analytics

  • Ensure accurate and up-to-date employee data within the HRIS, including personal information, job details, compensation, or contractual information, and performance records.
  • Conduct regular audits and data checks to identify and resolve data inconsistencies or errors within the HRIS.
  • Analyse HR data and generate reports, metrics, and dashboards to support HR analytics.
  • Ensure compliance with data protection regulations and maintain data security and confidentiality standards within the HRIS.

Other

  • Oversee the administration and optimization of our LMS, design and creation of e-learning modules.
  • Participate in HR projects related to system implementations, process improvements, and automation initiatives.
  • Support change management initiatives related to HR digital transformation.
  • Partner with the HR team on diverse projects and initiatives, including internal communication and documentation, HR Information Systems, Learning & Development, etc.

Your experience

  • 5 years of professional experience in the field of HR IS
  • Strong knowledge of “Lucca” or similar HRIS platforms
  • Advanced knowledge of and hands-on experience with ATS and LMS platforms.
  • Experience in data analytics, reporting, quality control, process mapping, training, and data protection
  • Fluency in English and French required.
  • Technology savvy (navigating various software), with a keen interest in Artificial Intelligence and HR related topics, and a strong drive to explore how AI can support, enhance, and continuously improve HR processes and initiatives
  • Ability to translate organisational and HR needs into system solutions and process improvements A proven track record to simplify and improve processes
  • Solution oriented, keen eye for detail, strong analytical skills
  • Interest in digital HR transformation and automation
  • Collaborative, strong communication and stakeholder management skills
  • Discreet and professional when handling sensitive information.
  • A valid work permit for Switzerland (or Swiss/EU citizenship) at the time of application is a pre-requisite
