Project Finance and Administration Intern (start date as soon as possible)
This position is unpaid.
Responsibilities:
Budgeting and Budget Monitoring:
- Assist in project budget development, and other grant making process. Assist in monitor the budget using monthly expense and labor reports, at the field and HQ level;
- Ensure there is proper planning and accomplishment of project activities and deliverables completion as per their due date on the workplan.
Financial Documentation and Transaction Workflow:
- Assist in overseeing financial transaction documentation and ensure it is complete, accurate and complies with applicable policies and internal procedures; review documentation prepared by other team members to ensure quality of work, including accuracy, attention to detail and compliance.
- Support to ensure that team transaction requests are submitted following PATH established processes and procedures.
Compliance support:
- Assist in evaluating activity requirements and financial commitments in accordance with the project award, donor and PATH policies and procedures, and PATH’s cost principles
- Various donor compliance requirements.
Contracting and Contract Management : (Sub-agreements, subcontracts, consultancies)
- Assist program or technical staff in the development of Scope of Work documents and/or specifications for consultants, contracting, partnering and procurements.
- Assist in preparing and compiling all required documentation and submit complete package to project manager for review and submission.
- Assist in reviewing consultant, contractor, partner and vendor invoices and reports ; submitted deliverables (financial and progress reports).
- Assist close-out processes and submit appropriate documentation.
Travel, procurement and logistic:
- Assist in initiating and/or facilitating travel, procurement process for in accordance with donor and PATH procurement policy(ies)
- Support communicating donor requirements for reporting and disposal of inventory to Procurement and/or Facilities, to ensure inventory management requirements are integrated into office inventory management process(es).
- Support track and ensure accuracy of project inventory (if applicable), validating to GL records of project purchases, equipment disposal documentation, and PATH’s Fixed Assets, Project Equipment, and Inventory policy.
- Assist in planning and coordination of the full range of logistics for workshops, meetings & field work exercises;
- Maintain regular communication with project team, procurement and finance unit regarding project administration issues, highlighting issues that need attention, and requesting additional support as needed to implement activities successfully and in compliance with policies and procedures.
Other activities
- Other tasks assigned by the senior finance officer.
Required Experience
- Preferable bachelor’s degree in finance and administration or equivalent
- Proficient in Microsoft Office software suite particularly Excel, and ability to learn financial systems/software.
- Demonstrated financial knowledge and skills.
- Good verbal and written communication and interpersonal skills.
- Strong organizational skills, attention to detail, and effectiveness under deadlines.
- Able to multi-task for multiple teams.
- Ability to work in a team environment (sometimes online) with minimum supervision.
Duration
Three to six months.
Conditions
The internship is currently offered and preferred as full-time, but part-time can be considered for a strong case. The position is unpaid. Ideally the applicant is university student or through OPE arrangement.
This internship is part of an academic training program, a professional training program or a socio-professional integration program and must meet the conditions set by the Conseil de surveillance du marché de l'emploi (CSME).
