Description
ILGA World has obtained dedicated project funding to strengthen its re-granting capabilities in 2026/2027.
Therefore, the organisation is restructuring its finance team and seeking a Senior Officer — Accounts Payable to strengthen its payment and payroll functions and allow for more focus on building re-granting systems and processes for existing team members.
The Senior Officer — Accounts Payable (AP Senior Officer) is responsible for managing all aspects of the organisation’s outgoing payments and financial obligations to vendors, contractors, grantees, and partners.
This role ensures the timely and accurate processing of invoices and expense claims in line with internal policies, donor requirements, and compliance standards.
The AP Senior Officer plays a vital role in maintaining trusted relationships with suppliers and supporting the NGO’s mission-driven operations across diverse geographies.
This position is initially open for a year, ending on 15 March 2027, and can be renewed if follow-up funding is agreed.
The successful candidate will ideally start working on 15 March 2026.
Responsibilities
- Process, verify, and reconcile invoices, payment requests, and staff reimbursements, in compliance with internal policies, donor regulations, and tax requirements
- Maintain accurate and up-to-date accounts payable records in the financial system
- Ensure compliance with donor requirements, including accurate recording and reporting of payments
- Prepare payment batches (including international transfers) for review and approval and ensure timely payments
- Assist in month-end and year-end closing processes with a focus on payables
- Ensure availability of accurate financial documentation and provide supporting evidence for audits and regulatory authorities
- Review and monitor contracts with vendors and service providers, ensuring financial terms are respected and payments align with contractual agreements and compliance standards
- Process Employer of Record (EOR) and Swiss payroll, including handling of invoices, reconciliations, benefits administration, and reporting to authorities
- Manage VAT processes, including Swiss acquisition tax, ensuring accurate treatment of transactions and reporting to the tax authorities
- Process disbursements to sub-grantees, ensuring payments are timely, accurate, and aligned with approved agreements
- Carry out other finance-related activities as agreed with the Director of Finance and Support services.
- Work as a part of the ILGA World staff team.

Performance of duties, remuneration, and benefits
- ILGA World is working under a flexible workplace regime – this position can be implemented remotely, and we do not support relocation to Geneva, Switzerland
- The successful candidate is required to have the legal authorisation to work in the country in which they are based and wish to work from
- The position is advertised at 100% of a full-time position
- The position is advertised initially for one year ending 15 March 2027. Renewable under specific circumstances.
- ILGA World remunerates under a three-tiered salary matrix structure. The annual salary being offered for the post ranges between 53,214 CHF and 76,020 CHF for the 100% position, depending on location
- In addition, ILGA World offers 32 days between public holidays in the country of work and annual leave, and contributions to health care costs
- ILGA World operates under a flexible working system that – among others – includes flexible working hours
- The weekly working time is 40.5 hours on a 100% position.
Requirements
The successful candidate must possess:
- At least 3 years of working experience
- Proven experience in accounts payable, payroll processing, or financial administration, ideally within an international NGO or multi-national organisation
- Strong contract review skills and attention to detail in financial documentation
- Ability to adapt to multi-currency environments and understand cross-border payment processes
- A commitment to transparency, compliance, and support for LGBTI human rights organisations.
The successful candidate also ideally has:
- Familiarity with Swiss payroll systems, VAT regulations, and tax compliance.
