Position title: Congress and Events Specialist

Location: Geneva, Switzerland (hybrid working possible, two days a week)
Reports to: Head of Congress and Events

Contract type: Full-time | Permanent

About the role

As a key member of the Congress & Events team, the Congress & Event Specialist will provide operational and logistical support across UICC’s global event portfolio. This includes the Cancer Planners Forum (CPF), World Cancer Leaders’ Summit (WCLS), World Cancer Congress (WCC), and other UICC-led events. The role also supports participant registration and contributes to monitoring event outcomes and impact.

Main responsibilities

  1. Programme coordination
  • Coordinate session design timelines and planning meetings across teams.
  • Manage speaker invitations, briefings, and onboarding process.
  • Manage programme data in various project management platforms, ensuring accuracy, traceability, and alignment with event objectives.
  1. Event logistics and delivery
  • Manage end-to-end event logistics: venue liaison, supplier coordination, catering, travel arrangements, accommodation blocks, and equipment rentals.
  • Support with on-site or virtual delivery as needed.
  • Coordinate technical and production briefings for participants as needed.
  • Manage event materials, delegate kits, and on-site support planning.
  1. Registration & participant experience
  • Set up and manage registration systems, including testing and troubleshooting as needed.
  • Ensure accurate registration tracking and timely communications.
  • Provide participant support pre-, during-, and post-event.
  • Analyse registration trends to propose audience engagement strategies and segment-specific improvements.
  • Maintain high levels of participant satisfaction and operational excellence throughout all touchpoints.
  1. Monitoring, evaluation & reporting
  • Develop and implement frameworks for feedback collection, session evaluations, and outcome monitoring.
  • Track engagement levels, collaboration outcomes, and perceived impact post-event.
  • Collaborate with the Head of Congress and Events to produce summary reports and impact briefs for stakeholders.
  • Contribute to monitoring return engagement and impact over time.
  1. Cross-Event Support
  • Participate in the planning and delivery of:
  • Cancer Planners Forum (CPF)
  • World Cancer Leaders’ Summit (WCLS)
  • World Cancer Congress (WCC)
  • Other special events organised or co-hosted by UICC (in-person or virtual)
  • Support may include : venue sourcing, logistics mapping, registration, tech run coordination, post-event wrap-up, planning and coordination meetings with internal teams and external partners

Candidate Profile

Skills and experience

  • Degree in Event Management, Hospitality, International Relations, Public Health, or related fields.
  • Minimum 4 years of professional experience contributing to large-scale events, conference logistics, or programme, ideally in an NGO or international setting.
  • Strong project coordination and communication across teams.
  • Excellent organisational and time-management abilities.
  • “Customer service” mindset with attention to detail.
  • Comfortable managing data, spreadsheets, and logistics systems.
  • Ability to handle multiple priorities and work under pressure.
  • Team player with excellent multicultural communication skills.
  • Experience with event registration platforms (e.g. Tito, Eventbrite)
  • Experience with project management tools (e.g. Asana)
  • CRM systems
  • High proficiency with Microsoft Office (Excel, PowerPoint, Word)
  • Survey tools (Google Forms, SurveyMonkey)
  • Fluency in English (written and spoken) required.
  • French and/or Spanish highly desirable
