Reports to:  Chief Executive Officer

Type of contract: Permanent position at 100%

Location: Geneva, Switzerland

About UICC

The Union for International Cancer Control (UICC) is the largest global membership organisation dedicated to taking action  against cancer. Founded in 1933 and based in Geneva, UICC has over 1,100 member organisations in 172 countries and territories. UICC’s mission is to both unite and support the cancer community in its efforts to reduce the global cancer burden, promote greater equity and ensure that cancer control remains a priority on the global health and development agenda.

UICC has consultative status with the United Nations Economic and Social Council (ECOSOC) and has official relations with the World Health Organization (WHO) and partnerships with the International Agency for Research on Cancer (IARC), the International Atomic Energy Agency (IAEA) and the United Nations Office on Drugs and Crime (UNODC). UICC is committed to working in partnership, and engages over 58 partners, including associations, companies and foundations, to amplify and extend its collective impact.

UICC is a founding member of the NCD Alliance, the McCabe Centre for Law & Cancer, the International Cancer Control Partnership (ICCP) and established the City Cancer Challenge Foundation in January 2019 and the Access to Oncology Medicines (ATOM) Coalition in May 2022.

Summary of the position

The Executive Assistant will provide high-level administrative support to the CEO and the Management team to successfully conduct the day-to-day management and delivery of all activities. S/he will also work with other UICC teams, UICC Board members and external stakeholders to support the successful achievement of the organisational objectives by helping the CEO specifically organise and manage his workload and time effectively.

Main responsibilities

Duties and responsibilities of the Executive Assistant include but are not necessarily limited to:

  • Supporting the CEO in the execution of his duties.
  • Managing the CEO's agenda, ensuring that all meetings are arranged with third parties effectively.
  • Ensuring that the CEO has all the necessary background information to be effective in his meetings.
  • Researching certain topics on behalf of the CEO.
  • Managing the logistics for all travel of the CEO and of the Management team.
  • Supporting the Management Team in the planning, coordination and follow-up of their joint activities.
  • Optimising and planning the travel schedules for the CEO and enable remote decision-making.
  • Organising follow-up actions from various CEO and Board meetings, conference calls and business trips in collaboration with the management team.
  • Drafting replies to e-mails and other communications on behalf of the CEO.
  • Taking responsibility for specific projects to support the CEO and COO in the delivery of their work

Governance

  • Providing administrative support to UICC’s Board of Directors, including the logistical organisation of the Board meetings both virtually and in different international locations.
  • Coordinating Board meeting and General Assembly preparations
  • Acting as the first point of contact for all communications and managing the relationship between the Board and UICC staff
  • Management of UICC’s board sharepoint platform

Skills and competences

Experience

  • Advanced studies and at least two years professional experience, ideally in an international organisation or an NGO
  • Experience and proficiency in administrative procedures, managing files and records

Competences

  • Excellent communication skills – interpersonal, written and verbal
  • A high level of written and spoken English and French; other languages such as Spanish a plus
  • High proficiency in Outlook, Microsoft Word, PowerPoint and Excel must.
  • Experience with SharePoint site management an asset
  • Strong attention to detail and accuracy
  • Strong organisational, planning and time management skills
  • Able to deliver quality results under time constraints in a fast-paced environment
  • Ability to cope with periods of high workload
  • Able to learn new software applications with ease
  • Interpersonal skills
  • Great team player, able to work with people of different backgrounds and culture
  • Committed to delivering high quality work
  • An enquiring mind, willing to learn about global health and cancer specifically
  • Interest and understanding of the non-profit sector

The candidate should be eligible to work in Switzerland.
