Description
The Permanent Mission of Iceland is seeking to fill the position of the Personal Assistant to the Ambassador.
Responsibilities
- Managing the Ambassador ‘s calendar, organization, and participation in event management
- Receiving visitors to the mission and responding to incoming calls, emails, and other electronic correspondence
- Property management, such as liaison with authorities, owners and service providers on matters relating to the mission offices, ambassador´s residence and the residence of diplomatic staff.
- Assisting in the organization of visits of ministers and senior officials attending official meetings at UN, WTO, EFTA and other international organizations as well as on bilateral visits from Iceland to Switzerland and other accredited countries.
- Assisting diplomatic staff of the mission in their work when needed, such as making travel arrangements related to work.
Requirements and qualifications
- Fluent in English and French. German is an asset.
- Good knowledge of standard software applications: Outlook, Excel, and Word as well as experience in using common social media platforms.
- Good knowledge of Swiss and Geneva administrative and legal requirements.
- Minimum 5 years of relevant professional work experience in a similar position
- Experience in dealing with diplomatic protocols and procedures with the Swiss Mission in Geneva is an asset, as well as work experience from foreign representation or international organizations based in Geneva.
- Strong organizational skills with a problem-solving attitude and attention to detail
- Excellent written and verbal communication skills
- Service orientation and a good team spirit
- Valid driving license
Operational Requirements
This position is governed by Swiss rules and regulations. It is only open to nationals that fulfill legal requirements to work in Switzerland and have a clean criminal record.
Working hours are 40 per week, Monday to Friday. Although rarely required ability to work overtime, including on weekends, if needed.
Annual gross salary will be in the range of 65-75.000 CHF per year, taking into consideration qualification and experience.
Expected starting date 1 August 2025.
